About HaulCaptain: a dispatch desk for carriers growing from one truck to a fleet

HaulCaptain is a truck dispatch service for owner-operators and small fleets. We find and negotiate freight, plan each truck's next load and home time, and handle the calls and paperwork around every load. You decide which loads your trucks haul.

Why the desk exists

Most owners who start with one truck spend their days doing two jobs: driving, and finding the next load from the cab. When they add a second truck, the second job doubles. Empty miles grow, reloads slip, and the owner ends up on the phone with brokers at the times they should be driving, sleeping or with their family.

We built HaulCaptain to take that second job off the owner's plate without taking control away from them. Our dispatchers do the searching, calling and negotiating. The owner keeps the final say on every load.

How the desk works

  • The desk runs 24/7. Freight, breakdowns and delays don't keep office hours, so neither do we.
  • You approve every load. We bring each offer to you with the rate, miles and timing. Say yes and we book it; say no and it costs you nothing.
  • The rate confirmation goes straight to you. The broker contracts with your company, not with us.
  • We handle the work around the load: broker setup and carrier packets, check calls and delivery updates, detention, layover and TONU claims, and reload planning before delivery.
  • A weekly report for each truck with loads, revenue and miles, so you see what every unit earned.

Our fee is a percentage of each load you accept and haul: 5% for one truck, 4% per truck for two or more, and 7% while your MC is under 6 months old, stepping down automatically. There's no setup fee, no minimum and no long contract; you can leave with 30 days notice. Details are on our dispatch rates page.

Who we work with

The desk is built for owner-operators with their own authority and for fleets of two to ten trucks: brand-new authorities booking their first loads, carriers that have run for years and want to stop dispatching from the cab, and fleets that lease on owner-operators alongside company trucks. We dispatch leased units within the terms of each lease.

What these carriers have in common is that the owner still runs the business. We don't take over the company; we take over the phone, the load boards and the paperwork around each load, so the owner can spend time on drivers, customers, maintenance and the numbers.

A week with the desk

Before each truck delivers, a dispatcher is already lining up its next load, inside the lanes, rates and home-time rules you set. You get each offer to approve. Once you say yes, we confirm it with the broker, send updates while the truck runs, and collect the paperwork when it delivers. At the end of the week, you get the report for every truck.

Equipment we dispatch

We dispatch eleven types of equipment at the same rates, from 26 ft box trucks up to heavy haul and tankers. We don't dispatch cargo vans, sprinters or box trucks smaller than 26 ft.

Why we write fleet playbooks

Owners running small fleets keep running into the same questions: what it really costs to add a truck, how to hire a first driver, which records the rules require, how to read a lease. We answer them in our playbooks and calculators, written for fleets of one to ten trucks.

What we are not

HaulCaptain is a private dispatch service. We are not a law firm, accounting firm, software vendor, insurance agency or government agency, and we are not affiliated with any company named in our guides.
