Privacy policy

This policy explains what information HaulCaptain ("we") collects through haulcaptain.com, how we use it, who we share it with, and the choices you have. We're a truck dispatch service; we collect only what we need to answer you and to dispatch for carriers who sign up.
What we collect
When you fill in a form. The dispatch application asks for your name, phone number, email, the best time to call, your equipment and number of trucks, your authority status and, if you choose, your MC or DOT number, authority age, lanes or home base and a short note. The contact form asks for your name, phone, email and a message. The factoring request form asks for similar contact and business details.
Technical information. When a form is sent, we record the page it came from, the referring page, whether you used a phone or a computer, and the time. Our hosting and security providers process IP addresses to deliver the site and block abuse.
What stays in your browser. Calculator inputs, saved rosters, checklists, template drafts and your fleet profile (the "Your fleet" setting in the header) are stored only in your own browser's local storage. They are never sent to us unless you type the same details into a form and submit it. You can clear them by clearing your browser's site data.
How we use it
- To call, text or email you about dispatch services when you've asked us to and given consent.
- To set you up with brokers and dispatch your trucks if you become a carrier we work with.
- To answer contact messages and correction requests.
- To understand which pages and tools are useful, using privacy-friendly analytics that don't identify you.
- To keep the site secure and stop spam.
Consent to be contacted
Our forms include an unchecked box to agree to be contacted by phone, text and email, including by automated means. Consent isn't a condition of service. You can opt out of texts at any time by replying STOP, and out of calls or email by telling us.
Who we share it with
- Email delivery. Form submissions are delivered to our desk through an email service provider (Resend), which processes them on our behalf.
- Factoring partner. If you request a factoring quote, we share that request with RTS Financial so they can contact you. Dispatch applications and contact messages are not shared with RTS Financial.
- Security. Forms may use a bot check from Cloudflare (Turnstile), and the site is delivered through hosting and network providers.
- Brokers, when you're our carrier. If you sign up for dispatch, we send your carrier packet (authority, insurance certificate, W-9) to brokers to set up loads you approve.
- When required by law. We may disclose information if the law requires it.
We don't sell your personal information.
Cookies and analytics
We use a first-party cookie to remember the campaign that brought you to the site (UTM parameters), so we know which sources lead to applications. We use privacy-friendly analytics that count page views and events such as a form being started or a calculator result being shown; it doesn't use advertising cookies or build a profile of you. Partner links go through our own redirect pages so we can count referrals.
How long we keep it
We keep form submissions as long as needed to respond and, for carriers we dispatch, for the length of the relationship and any period the law or our records require afterward. We delete or anonymize information we no longer need.
Your choices and rights
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it, subject to records we must keep. Depending on where you live, you may have additional rights under state law. To make a request, use our contact page.
Children
This site is for businesses and isn't directed to children under 13. We don't knowingly collect their information.
Changes
If we change this policy, we'll update the date above. Material changes will be noted on this page. See also our terms of use and partner disclosure.
