Factoring automation for trucking: what the app should do when five drivers upload from the road
By Edwin Horton, Truck dispatcher · Updated
At one truck, factoring paperwork is the owner's job, done at a truck stop table. At five trucks it's five drivers, five phones, and a dozen invoices a week, and the owner can't check every photo before it goes. Factoring automation for trucking is the app layer that makes that work: uploads from the cab, automatic checks, funding without a phone call, and one screen showing where every invoice stands.
This page is built around the questions drivers and owners actually ask about factoring from a phone.
Questions drivers ask, short answers
"Do I upload before I leave the receiver?" Yes. Check the signature and date on the BOL, photograph it there, and submit. If the photo is rejected, you can still get a new signature while you're on site.
"Which pages do I send?" The signed rate confirmation, every page of the signed BOL or proof of delivery, and any lumper receipt or scale ticket you're billing. The invoice is often created in the app.
"Why was my upload rejected?" Usually blur, a cut-off corner, a missing signature, or an amount that doesn't match the rate con. The section on document quality below covers each.
"When will the money land?" Depends on the factor and the time you submit. Some publish funding in minutes; others within 24 hours. Late-day uploads may fund the next business day.
"Can I see what's been paid?" In most apps, yes, per invoice. RTS Financial's app lists purchase status RTS appInvoice uploads, purchase status, broker and shipper credit ratings, load board, fuel map; iOS, Android and webRTS Financial app page: invoice uploads and purchase status for factoring, credit ratings on thousands of brokers and shippers, a load board with lane alerts, a fuel map, driver and truck profiles, on mobile (App Store, Google Play) and web.RTS Financial, RTS app, 2026Checked Oct 2026.
"Can I check a broker before I take the load?" Many factor apps include broker credit checks. Do it before you agree, not after you deliver.
"Does the owner see my uploads?" Usually. Owners should set that up on purpose: who uploads, who reviews, and who gets the funding notice.

All checked October 19, 2026 on each company's own site. "Instant" and "minutes" usually apply to eligible invoices that pass automatic checks, and sometimes to the factor's own debit account rather than your bank. Ask how long money takes to reach your regular bank account, and whether a fee applies. For a side-by-side of contract terms, see our factoring companies comparison.
What to check in a factoring app
- Uploads from the phone camera, with edge detection or image cleanup
- Separate driver logins under one company account
- Owner view of every invoice across all units
- Status per invoice: submitted, verified, funded, paid by broker, reserve released
- Rejection reasons shown in plain words, with a way to resubmit
- Broker credit checks before booking
- Notifications when an invoice funds or needs attention
- Exports with invoice number, broker, amount, fee and dates
- Fuel card management, if you use the factor's card
- Two-step sign-in and the ability to remove a user instantly
What the five factors list on their sites: Apex lists a mobile factoring app with image capture; Bobtail lists mobile and web apps; OTR Solutions lists invoice submission, payment status and fuel discounts; RTS Financial lists invoice uploads, purchase status, broker and shipper credit ratings, driver and truck profiles, a load board and a fuel map, on iOS, Android and web; Triumph lists purchase decisions in seconds on most invoices and 24/7 broker checks.
Document quality: avoiding rejections
Every rejected upload delays an invoice, and at five trucks the delays stack up. Train drivers on these, and check the first few weeks of uploads yourself.
Light and flat. Lay the page on the seat or dash, in daylight or under the cab light. No shadows across the signatures.
All four corners. A cut-off corner can hide a page number or a signature. If the app has edge detection, let it frame the page.
Every page. A two-page BOL with page two missing is incomplete. So is a rate con without the signature page.
Signatures and dates. The receiver's signature, printed name and date on the BOL. Your signature on the rate con.
Matching numbers. The invoice total must match the rate con, plus accessorials the broker approved in writing. Attach that approval.
Exceptions noted. If the receiver wrote "2 pallets short" on the BOL, the broker will short-pay. Tell the office the same day so nobody is surprised.
EXAMPLE A four-truck fleet sets one rule: every BOL is photographed at the receiver and checked in the app before the truck pulls out. In the first month, rejections fall from several a week to about one, because drivers catch missing signatures while the receiving clerk is still there. Numbers are EXAMPLE.
For a full system for keeping BOLs, rate cons and settlement files organized across a fleet, see trucking document management.
Where automation stops
Apps check images and match numbers. They don't fix a broker dispute, recover a lost BOL, or decide whether a load was worth taking. Someone in the company still owns those. My advice: name that person before you sign, and give them access to the app on day one. Read the freight factoring guide for how factoring works across a fleet beyond the app.
App features change often. We checked each company's own pages on October 19, 2026.
Factoring app questions
01What is the best factoring app for trucking companies?
The one your drivers will actually use at the dock, from a factor whose contract fits you. Compare uploads, funding status per invoice, broker credit checks, multi-driver access and exports. The app comes with the factor, so judge the contract first; a great app doesn't fix a bad agreement.
02Can my drivers upload invoices from their phones?
Usually, yes. Most factoring apps let you photograph the rate confirmation and BOL and submit them. Ask whether each driver gets a login under your account, what each can see, and whether the owner gets a view across all units. RTS Financial's app lists driver and truck profiles.
03Do factoring apps connect to accounting software?
Some offer exports or direct connections, and many don't publish it. On the pages we checked, none of the five factors we compare listed an accounting connection. Ask for a sample export and check that it brings in invoice number, broker, amount, fee and payment date.
04Are factoring apps safe?
Treat them like a banking app. Use a strong unique password and two-step sign-in if offered, give each driver their own login, and remove access the day a driver leaves. Watch for fake 'factoring' messages asking you to log in through a link; open the app directly instead.
